1. About this policy
Urban Enviro Consultancy Pty Ltd (ABN 33 677 507 069), trading as Urban Environmental Consulting ("UEC", "we", "us", "our"), is committed to protecting the privacy of the people we deal with. This policy explains how we collect, hold, use and disclose personal information, and how we handle it in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using our website (urbanenviroconsulting.com.au) or providing your information to us, you agree to your information being handled as described in this policy.
2. What is personal information?
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable — for example your name, contact details, or other details that can identify you. Some information we handle in our consulting work (for example, details about a landowner or occupier connected to a site) may also be personal information.
3. The information we collect
Depending on how you interact with us, we may collect:
- Contact details — your name, email address, phone number, and postal or site address.
- Enquiry details — the information you provide when you request a consultation or contact us, including details about your site, project or property.
- Business information — your company or organisation, your role, and related project information.
- Website usage information — technical information collected automatically when you visit our website, such as your IP address, browser type, pages viewed, and the date and time of your visit (see section 6).
We generally do not collect sensitive information (such as health information) through our website. Where our consulting work requires us to handle such information, we collect it directly and only as needed for that engagement.
4. How we collect your information
We collect personal information:
- directly from you — when you contact us by phone, email, our website enquiry form, or in person;
- in the course of providing our services — from you, your representatives, or other parties involved in a project (such as clients, councils, regulators or other consultants); and
- automatically — through cookies and analytics tools when you use our website.
Where it is reasonable and practicable to do so, we collect personal information directly from you.
5. Why we collect, hold, use and disclose your information
We use personal information to:
- respond to your enquiries and requests for a consultation or quote;
- provide, manage and deliver our consulting services;
- liaise with regulators, councils and other parties as part of a project; and
- maintain our business records and meet our professional, insurance and legal obligations.
We only use your information for the purpose it was collected for, a related purpose you would reasonably expect, or as required or authorised by law.
6. Cookies and website analytics
Our website does not currently use analytics or tracking cookies. Our contact and enquiry form is provided through our customer management platform, HighLevel (LeadConnector), which may process technical information such as your IP address and browser details when you view or submit the form. If we introduce analytics or other cookies in future, we will update this policy and, where required, provide a cookie-consent mechanism.
7. Disclosing your information
We may disclose your personal information to:
- our team and contracted specialists (for example geotechnical, hydrogeology or vapour specialists) engaged to help deliver a project;
- clients, councils, regulators (such as the NSW EPA) and other parties, where this is part of, or reasonably necessary for, an engagement;
- our professional advisers and service providers (such as IT, website hosting and email providers); and
- others where you have consented, or where we are required or authorised by law.
We do not sell your personal information.
Overseas disclosure: Some of our service providers store or process information on servers located outside Australia. This includes our website and enquiry form platform (HighLevel / LeadConnector, based in the United States) and our content delivery provider (Cloudflare, based in the United States). Where this happens, we take reasonable steps to ensure your information is handled consistently with the APPs.
8. Storing and protecting your information
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure — including appropriate electronic and physical security measures. We keep personal information only for as long as we need it for the purposes described in this policy or as required by law, after which we take reasonable steps to destroy or de-identify it.
9. Accessing and correcting your information
You may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact us using the details in section 13. We will respond within a reasonable time. In some circumstances we may be unable to give access or make a correction, in which case we will explain why.
10. Making a complaint
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us (section 13) so we can investigate and respond. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
11. Links to other websites
Our website may contain links to third-party websites (for example ALGA, podcast platforms or regulator sites). We are not responsible for the privacy practices of those sites, and we encourage you to review their own privacy policies.
12. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the "last updated" date shown at the top.
